Assessment Accommodations in Place in the Classroom?

A new field has been added to the Assessment Participation section of the IEP.

This new field is a way for case managers to confirm that the accommodations that are checked in for assessment participation align with the Program Modifications/Accommodations  that are used on a daily basis in the classroom.

The accommodations that are used for state testing must be accommodations that students are familiar with and that they are using on a regular basis.  This new field will eventually be added into the error check routine for IEPs, and the data will be cleared on an annual basis.  At each annual IEP review, the team should be verifying that the accommodations that are checked for use during testing are the same or similar to those that are listed in the program mods/accoms section of the IEP.

For students who are not subject to state testing (grades PK-2 or students who have passed the HSGQE), you can check the N/A option.

New Assessment Field: Not Subject to Testing

We have added a new checkbox to the assessment participation section of the IEP database: “Not subject to assessment due to age or having passed the HSGQE.”

This checkbox should be used for students who are not of testing age (grades PS-2) or for students who have already passed the HSGQE and are no longer subject to state testing.  This field can also be used for Alternate Assessment students in grades 11, 12 or 12+

Changes to Sped Main Screen – Highlighting Referrals at 45 Days

The main screen on the special ed database will now highlight students who have been in the special ed referral process for 45 days or more.  The timeline in KPBSD is 75 calendar days from the date that consent to evaluate is obtained, to the date that the ESER and IEP must be complete.

Keep in mind that the date consent is signed, counts as the first day in the 75 day count—even if the consent form is signed at 5:00 pm

This is meant to give case managers a heads up as the 75-day deadline approaches, to ensure that you have plenty of time to get a date set for your ESER/IEP meeting and complete the process within the required time frame.

The system will also highlight referrals who are missing either of the consent dates on the “Referral Info” screen.  If one of your students is highlighted, and you feel you are still under 45 days, please double check to make sure that both consent dates have been entered into the database (see below).

Transition IEP Cover Page – Consent for Outside Agency Participation

The following text has been added to the IEP cover page for transition age students:

The district must obtain parental consent regarding transition agency participation.  (Checkbox) I give my consent for the following agenc(ies) to participate. (Checkbox) I do not give my consent for the following transition agenc(ies) to participate.

At  Friday’s transition training, the question came up as to how to document consent for students with more than one outside agency involved in the transition process. In some instances the family may wish to include one agency and not another. This new text will allow case managers to document which agencies the parent gives consent for participation, and which (if any) the parent does not provide consent for.

The text below has also been added to the printed meeting invite for transition age students:

Note: Districts must invite transition agenc(ies), as appropriate, if a student is at transition age.  Please notify your child's case manager as soon as possible if you do not wish for the transition agency to participate in the meeting.

 

 

Please keep in mind that if an outside agency is included in a student’s transition plan, that agency should be invited to participate in the IEP meeting and must be included on the meeting invite. If the parent (or 18 y.o. student) chooses not to give consent for agency participation, we have met our obligation by inviting the agency.  Either way, the parent (student) needs to sign the consent section of the IEP cover page to indicate that they do or do not give consent.  Please use caution when including outside agencies as the provider for transition services if/when those agencies are not active participants in the IEP meeting.

 

Printing Reports from FileMaker: Records Being Browsed

Whenever you print any reports from the Special Ed database (caseload lists, mailing labels, missing forms, etc, etc.) make sure that “Records Being Browsed” is selected in the print dialog window, not “Current Record.”

If Current Record is selected, the database will print only one student name/label/etc.  You must select “Records Being Browsed” to get your entire list of students.
